About this notice

RLS Auction Automation is under development. This draft covers its Google connections and the planned auction workflows. It must be reviewed by the project operator before publication.

Information accessed

• Google account identity: the email address and verified-account information needed to confirm that the intended auction account is connected.
• Selected spreadsheets and files: donor names and contact information, auction records, historical donation information, listing images and private donation files in resources selected for or created by the application.
• Outgoing email: recipient addresses, message content and send results needed for requested login links and organizer-approved experience rosters. The Gmail connection does not read or search the mailbox.
• Connection and operation records: authorization credentials and records needed to maintain access, track changes and recover interrupted operations.

How information is used

Information is used to administer auction donations, maintain records, reuse reviewed historical listing information, coordinate organizers and send the communications described above. Google account access is authorized by the designated account operators. Ordinary portal users are not asked to grant access to their personal Google accounts.

The proposed application does not sell Google user data, use it for advertising, or use it to train generalized artificial intelligence or machine-learning models.

Storage and access

Selected Google Sheets and Drive resources hold auction records and files. Supporting application records and connection credentials are stored in the project's hosted and local operating environments. Private backups support recovery.

People with access to the selected Google resources can access the data permitted by their Google sharing settings. Planned portal access also depends on a person's role and assignment. Connection credentials are kept outside public source code and routine application logs.

Sharing

Google processes data for the connected file and email services. Approved listing descriptions, public donor attribution and listing images may be published through BetterWorld. Organizer-approved experience rosters are sent to the reviewed recipients. Private donor contact information, host email addresses, internal notes and redeemable donation files are excluded from public listing content.

RLS Auction Automation's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements.

Retention, corrections and deletion

Auction records and backups are retained for administration, reviewed historical reuse and recovery. Retention periods and the process for handling deletion requests must be finalized before this draft is published.

To ask about access to, correction of or deletion of information, contact auction@rlspta.org. Removing access to a Google account does not automatically delete records already stored in auction files or backups.

Managing Google access

The connected account operator can revoke the application's authorization through their Google Account connections. Revocation can interrupt the application's file or email functions.
